What is the Free Invoice Generator?

The Free Invoice Generator lets freelancers, consultants and small businesses build a professional invoice right in the browser and save it as a PDF in one click. There is no account, no watermark and no upload: every field you type, including your logo, stays on your own device. Add as many line items as you need, apply tax and a percentage or fixed discount, choose from nine currencies, and watch the A4 preview update live as you work.

A good freelancer invoice answers every question your client's accounts team might ask before they pay. At minimum it should include your business or trading name and contact details, the client's legal name and address, a unique sequential invoice number, the issue date and a clear due date, an itemised list of the work delivered with quantities and rates, the subtotal, any tax or discount applied, and the final amount due in a named currency. Finish with exact payment instructions β€” bank account and IBAN, or a Payoneer, Wise or PayPal address β€” so nobody has to email you to ask how to pay. Missing details are the single most common reason invoices sit unpaid in an approval queue.

Payment terms tell the client how long they have to pay. "Net 30" means the full amount is due 30 days after the invoice date; "Net 15" and "Net 7" shorten that window, while "Due on receipt" asks for immediate payment. Large companies often default to Net 30 or even Net 60, so agree terms before you start the project and print them on every invoice. Shorter terms, a polite late-fee clause and invoicing promptly the day work is delivered all measurably reduce the time it takes to get paid. Some freelancers also ask for a 30–50% deposit up front on bigger projects and invoice the balance on completion.

Invoicing international clients adds a few extra considerations. First, agree on the invoice currency: billing in USD, EUR or GBP can make you more attractive to overseas clients, but you take on exchange-rate risk, so factor conversion and transfer fees into your rate. Second, check tax rules. Within the EU and UK, cross-border B2B services are usually covered by the reverse-charge mechanism β€” you charge 0% VAT, show the client's VAT number and add a note such as "Reverse charge: VAT to be accounted for by the recipient". Exporters of services from countries like Pakistan or India may also need the invoice to support export-income claims, so keep the description and currency precise.

Because the generator works entirely client-side, it is also a quick way to produce quotes, pro-forma invoices or receipts β€” simply change the notes and title of your line items. Use Save draft to keep your business details and payment information in this browser for next time, and New invoice to start fresh. When you click Download PDF, your browser's print dialog opens with only the invoice on the page; choose "Save as PDF" as the destination and you have a clean, print-ready document to email to your client.

How to Use This Calculator

Frequently Asked Questions

Is this invoice generator really free?+
Yes. There is no sign-up, no watermark and no limit on how many invoices you create. Everything runs in your browser, so your client and payment details are never sent to a server.
How do I save the invoice as a PDF?+
Click Download PDF. Your browser's print dialog opens showing only the invoice. Choose "Save as PDF" (or "Microsoft Print to PDF") as the destination, turn off headers and footers, and save.
What should a freelance invoice include?+
Your name and contact details, the client's details, a unique invoice number, issue and due dates, itemised services with rates, subtotal, tax, discounts, the total due with currency, and clear payment instructions.
What does Net 30 mean on an invoice?+
Net 30 means the client must pay the full invoice amount within 30 days of the invoice date. Net 15 means 15 days. Set the due date field to match the terms you agreed.
Do I charge VAT to clients in another country?+
Often not for B2B services. In the EU and UK, cross-border business clients usually fall under the reverse-charge rule: you invoice at 0% VAT and note the client's VAT number. Rules vary, so check with your tax adviser.
Which currency should I invoice international clients in?+
Use the currency agreed in your contract. USD, EUR and GBP are widely accepted, but you carry exchange-rate risk β€” factor in conversion and transfer fees from services like Wise or Payoneer.
How should I number my invoices?+
Use a unique, sequential series such as INV-001, INV-002 or 2026-001. Never reuse a number. Many tax authorities require an unbroken sequence for audit purposes.
Is my saved draft stored online?+
No. Save draft stores the form only in your browser's local storage on this device. Clearing your browser data removes it, and your logo is not saved in drafts.
